Travel Management Platform

The Corporate Travel Booking project was a transformative initiative to overhaul a legacy system with poor UI, which had caused users to abandon the app, thereby increasing the load on other departments for travel management. Our goal was to revamp the platform to make it efficient, user-friendly, and widely adopted across the organization.

Role and Responsibilites

As the lead designer, my responsibilities encompassed:

  • User Research: Delved deep into understanding the unique needs and challenges faced by corporate employees for travel requests, expense and approvals.
  • Workflow Design: Crafted streamlined workflows that simplified every step of request, approval and managing travel.
  • UI/UX Design: Developed intuitive user interfaces that provided an exceptional user experience.

    Challenges

    • Legacy System Overhaul: The existing platform was outdated with a poor UI, leading to low adoption and increased workload on other departments.
    • Complex Complaince Requirements: Since employees would travel at times on billable projects, integrating complex billing workflow, approval system. and compliance was mandatory. 
    • User Experience: Ensured a seamless, user-friendly experience that catered to diverse user needs.
    • Use by Cross Functional Teams: The users were going to be from various team and the platform was to serve teams  with personas of requester, approver, manager, finance, compliance etc. This increased the complexity in which the whole system worked from various levels.

    Approach to Design

    User Research:

    • Conducted in-depth interviews and surveys with corporate travelers and travel managers to gather insights.
    • Discovered that nearly all employees were familiar with using various travel booking services, with each having booked a minimum of three trips on such platforms.
    • Researched on compliance requirements and work flows for each persona.
    • Did numerous interviews with these personas to understand pain points of existing app and expectations from the new platform, wishlist of sorts.

    Workflow Prototyping:

    • Created initial workflow prototypes and validated them with real users, refining the designs based on their feedback.

    Iterative Design:

    • Adopted an iterative design process, continuously improving the platform to ensure it met usability standards and complied with corporate policies.

    Solution

    The final solution was a a platform:

    • Seamless Efficient Workflows: Designed workflows that significantly simplified the travel booking and management process.
    • User-Friendly UI: Developed interfaces that were intuitive, leveraging users’ familiarity with existing travel booking platforms.
    • Realtime Data Handling: Realtime data handling via notification and emails to fulfil or troubleshoot problems employees could face during travel. 

    Result and Impact

    • Rapid Adoption: Achieved complete organizational adoption within 30 days of launch.
    • Increased Efficiency: The new platform dramatically reduced the time and effort required to book and manage corporate travel.
    • User Satisfaction: Users reported higher satisfaction levels, praising the platform’s ease of use and enhanced productivity.
    • Widespread Usage: The system is now widely used across the company, relieving the burden on other departments and streamlining the travel booking process.
